Volunteer Forgets to Sign Out

If a volunteer signs in at VicTouch but doesn't sign out, they will be signed out automatically. However, you can choose how long VicTouch will wait before signing them out and how many hours they're credited with when this happens. These settings appear on the VicTouch Ground Rules page. To get there:

  1. Choose Setup from the menu.
  2. Expand VicTouch.
  3. Click Ground Rules.
  4. Under If volunteers forget to sign-out, choose the options you'd like.

First, choose the maximum number of hours volunteers can be signed in. If your longest possible volunteer shift is nine hours, then it's safe to assume that a volunteer who has been signed-in for more than ten hours has forgotten to sign out. In this case, you would choose 10 hours as the longest amount of time a volunteer should be signed in. Then choose how many hours and minutes should be credited to the volunteer when they're signed out automatically.

When Are Volunteers Signed Out?

VicTouch will check for volunteers who should be signed out once each hour, so volunteers won't necessarily be signed out immediately when they reach the threshold. For example, if you sign volunteers out automatically after 5 hours and a volunteer signs in at 3pm, they'll be signed out sometime in the 8pm hour, not right at 8pm.

If you want the number of hours that a volunteer should be given to depend on the Assignment they performed, click on the Assignment name and enter the number of hours and minutes they should receive if they forget to sign-out from that assignment.

Auditing

Check If volunteers forget to sign-out, post their service records for auditing if you want these service entries to appear on your service audit list. This makes it easy for you to later adjust these service entries to reflect the actual number of hours served, or to at least see which volunteers neglected to sign out.

To review service that's posted for auditing choose Mailbox from the menu and select the Service tab. There, you can mark entries audited to approve them, edit them, or delete them. You can learn more about these options in Audit Entries.
